Ask a developer in the middle of a sales campaign: how many enquiries last month, and from where? The first part often gets an answer. The second, much less. “Some from the portals, a few calls, maybe the site board.” It is not a lack of rigour. It is the absence of a mechanism linking an enquiry to its source.

An enquiry has a source: a campaign, a listing, a page, a site board, a referral. It has a cost when it comes from a paid channel. It has progress: called back or not, meeting booked, viewing done, reservation signed or dropped.

Enquiry tracking means keeping these three threads together, for every contact, from the first form to the reservation. It is not a traffic dashboard. It is a chain, and it is only worth something if no link is missing.

The mistake: counting enquiries instead of connecting them

The enquiry counter is reassuring. It goes up, people look at it and conclude that sales are progressing. But a total of enquiries does not say where they come from, nor which ones became viewings. You end up judging a channel by the number of forms it fills, when what matters is the number of reservations it produces.

The consequences are concrete. Budget stays on a channel that generates enquiries that never turn up. A channel that generated few enquiries but the best viewings gets cut. A subscription is renewed because it “works”, without anyone being able to say what it produced.

What is most often missing

  • A page that captures the source. If every enquiry arrives through the same form, with no campaign parameter or recorded source, the origin is lost in the first second.
  • A single place where enquiries live. Some contacts in an inbox, others in a spreadsheet, others with the broker: nobody sees the whole picture, and nobody knows who has been called back.
  • Feedback from the sales team. Tracking often stops at the handover. Without knowing what became of the enquiry after the meeting, you cannot trace back to the channel.
  • A reading during the sales campaign. An end-of-development review comes too late to make decisions. The reading must be possible every week, while the budget can still move between channels.

For the sales team, each enquiry arrives with its context: where it comes from, what it is looking for, what budget, what timing. Agents know which ones to prioritise and do not waste time on off-target contacts.

For the next development, contacts who did not buy this time remain known, with their history. They are the first to approach at the next launch.

  1. Bring every enquiry into the same place, whatever the channel, with its source recorded automatically.
